Securely manage customer data with Dynamics 365

With the GDPR (General Data Protection Regulation) deadline approaching fast, your customers are avidly searching for new ways they can securely manage their data and remain compliant whilst doing so. There are many products in the marketplace that can help protect business data from getting into the wrong hands, but when it comes to handling personal data, some companies are worried that human error is more prevalent in this area.
How secure is my customer’s data in Dynamics 365?
Customer Relationship Management (CRM) systems may all work towards the same outcome but they work in hugely different ways. Microsoft’s Dynamics 365 is, perhaps, one of the more complex CRM systems on the market – but it’s also one of the most secure. Behind the scenes, it uses Azure Active Directory to protect your data from unauthorised access and utilises technology such as Transparent Data Encryption (TDE) to encrypt data at rest and Transport Layer Security (TLS) to secure communication between services. For sensitive information relating to company data, Microsoft SQL Server field-level encryption can be configured for a set of default entities (otherwise known as ‘fields’), meaning data is less likely to be at risk of leakage.
On the other hand, if your customers are worried about human error and the handling or deleting of personal data, Dynamics 365 allows you to limit the tasks a user can perform. By assigning Security Roles, you can easily group privileges together to allow Sales Managers access to specific reporting tools and personal data, whilst assigning their team access to low-risk privileges to reduce user error.
Managing Data in Dynamics 365
One of the requirements of GDPR states that individuals must have the right to request their personal data in a readable format and be able to take their data elsewhere. With Dynamics 365, users can easily search and find personal data in the following ways: Advanced Find, Quick Find and Relevance Search. The overall flexibility of Dynamics means that users can customise the information shown based on specific GDPR requests by classifying the data in the required fields. Once the information is collated, it can be sent to the individual from an Excel .csv or .xml file.
Sometimes, your customers may have to amend inaccurate data or delete records associated to specific businesses. With Dynamics, customers can quickly bulk edit addresses by exporting to Excel Online and then easily re-import those records back into the CRM. If records are required to be deleted following a personal data erasure request, users can locate the record by the Advanced Find function and directly delete the records.
